1. Who We Are

Wellspoken is operated by Carbon Studio LLC (“we,” “our,” or “us”). We're a technology studio that creates products people love, dedicated to helping individuals improve their communication skills through AI-powered speech analysis and practice tools.

2. Information We Collect

To provide our service, we collect:

  • Voice Recordings & Analysis: Audio and video recordings from your speech practice sessions, meeting recordings, and uploaded files; transcripts generated from recordings (including speaker-separated transcripts); plus AI-generated analysis data including pace, clarity, scores, and vocabulary usage
  • Account Information: Name, email address, and payment details for subscription management
  • Practice Content: Your speech practice attempts, progress tracking, and performance metrics
  • Usage Data: Practice session logs, feature usage, and app interactions
  • Technical Data: Device information, app performance metrics, and crash reports

3. How We Use Your Information

We use your information exclusively to:

  • Provide AI-powered speech analysis and improvement recommendations
  • Track your progress and personalize your practice experience
  • Generate vocabulary insights and speaking performance metrics
  • Provide customer support and service improvements
  • Process payments and maintain account security
  • Send you service updates, feature announcements, educational content, tips for improving your speaking skills, and promotional communications (you can opt out of marketing emails anytime while continuing to receive essential account and service notifications)

We never sell your personal information or voice data to third parties.

4. AI Processing and Voice Data

Your voice recordings are processed by AI services including OpenAI (for content analysis) and other speech processing providers. All providers operate under strict data protection agreements. Voice data and analysis results are encrypted in transit and at rest, and are only accessible to authorized employees, contractors, consultants, and business partners for service delivery, quality assurance, product improvement, customer support, and internal business operations.

Privacy Protection: We apply privacy-conscious processing to all voice analysis. Voice recordings are processed for speech characteristics and communication patterns. For meeting recordings, speaker diarization may be used to separate and label individual speakers for analysis purposes (see Section 4.5). We recommend exercising discretion when recording or uploading content containing sensitive information.

Internal Analytics: We use internal dashboards and analytics tools to monitor service performance, understand usage patterns, and improve our product. Authorized team members may access individual user data, including practice recordings and performance metrics, for these purposes.

4.5. Meeting Recordings and Third-Party Voice Data

Our Record Meeting and Upload & Analyze features may capture, process, and store audio and video recordings containing the voices and personal information of individuals other than the account holder (“Third-Party Participants”).

What We Collect:

  • Audio recordings of meetings and conversations (up to 2 hours per session)
  • Uploaded audio files (M4A, MP3, WAV, AAC) and video files (MP4, MOV) up to 1 GB
  • Transcriptions generated from recordings, including speaker diarization (identification and labeling of individual speakers)
  • AI-generated analysis of speech patterns, vocabulary, delivery metrics, and communication insights

How We Process Third-Party Voice Data:

  • Third-Party Participant audio is processed solely to provide speech analysis to the account holder
  • We do not create accounts, profiles, or persistent identifiers for Third-Party Participants
  • We do not use Third-Party Participant data for marketing, advertising, or any purpose unrelated to providing the service to the account holder
  • Speaker diarization labels are temporary identifiers (e.g., “Speaker 1,” “Speaker 2”) and are not linked to real-world identities by us

User Responsibility:

The account holder is solely responsible for obtaining all necessary consents from Third-Party Participants before recording or uploading content containing their voices or personal information. We rely on the account holder's representation that all required consents have been obtained in accordance with applicable laws (see our Terms of Service, Section 5 for details).

Third-Party Participant Rights:

If you are a Third-Party Participant and believe your voice or personal information has been recorded or processed through Wellspoken without your consent, please contact us at support@wellspoken.me. We will work with you to investigate and, where appropriate, remove your data from our systems. The same data deletion timelines described in Section 6 apply.

5. Data Sharing

We only share your information with:

  • AI Service Providers: OpenAI, Google Cloud (Vertex AI), and other speech processing services for voice analysis and content generation
  • Cloud Storage: Amazon Web Services (AWS S3) for secure storage of audio and video recordings and uploads
  • Transcription Services: Microsoft Azure Speech SDK for audio transcription and speaker diarization
  • Payment Processors: RevenueCat and Apple/Google for secure subscription billing
  • Customer Support Tools: To provide you with assistance when needed
  • Analytics and Advertising Services: Meta (Facebook/Instagram), Google Analytics, PostHog, and other advertising and analytics platforms for measuring campaign effectiveness and product insights (see section 5.5 for details and opt-out options)
  • Legal Requirements: When required by law or to protect our rights

5.5. Analytics and Advertising Partners

We use third-party analytics and advertising services to measure the effectiveness of our marketing campaigns, understand how users discover our app, and improve our service. These services may collect and use information about your device and how you interact with our app and website.

Advertising and Conversion Tracking: We work with various advertising platforms to measure campaign effectiveness and optimize our marketing efforts. These may include, but are not limited to:

  • Meta (Facebook/Instagram): We use Meta's SDK and conversion tracking to measure ad campaign effectiveness. Meta may collect device identifiers, advertising IDs, and usage data. On iOS, this requires your explicit consent through Apple's App Tracking Transparency framework. You can manage this permission in Settings → Privacy & Security → Tracking.
  • Other Advertising Networks: We may also use advertising platforms such as Google Ads, Snapchat, Reddit, TikTok, Twitter, LinkedIn, and other advertising networks. These platforms may use cookies, pixels, device identifiers, and similar technologies to collect data for campaign measurement and optimization purposes.

Analytics Services:

  • Google Analytics: We use Google Analytics to understand website usage patterns and improve our web experience. You can opt out using Google's opt-out browser add-on.
  • PostHog: We use PostHog for product analytics to understand how features are used and improve our service.
  • Other Analytics Providers: We may use additional analytics services to understand user behavior and improve our platform.

Your Choices:

  • Mobile Devices: You can control tracking permissions on iOS in Settings → Privacy & Security → Tracking. On Android, you can manage advertising preferences in Settings → Privacy → Ads.
  • Web Browsers: You can manage cookie preferences through your browser settings. Most browsers allow you to block third-party cookies and opt out of personalized advertising.
  • Platform-Specific Opt-Outs: You can opt out of personalized advertising through your account settings on various platforms. Note that opting out may not prevent all data collection, but will limit use for personalized advertising.

These services may use cookies, pixels, device identifiers, and similar technologies to collect information. The data collected helps us measure the effectiveness of our advertising campaigns and improve our service, but we do not sell your personal information to these third parties for their independent use.

Note: We may add or change our advertising and analytics partners from time to time. We'll notify you of significant changes to this section through our privacy policy updates or in-app notifications.

6. Your Rights

You have the right to:

  • Access all personal information we have about you
  • Request permanent deletion of your data from our systems
  • Correct or update your personal information
  • Download your practice data and progress history
  • Opt out of marketing communications (you will still receive essential account notifications, security alerts, and service updates)
  • Request data portability in machine-readable format

Data Deletion: When you request data deletion, your information is permanently removed from our active systems. Audio and video recordings are removed from active storage immediately upon request. Backup copies in our disaster recovery systems (including versioned storage) are retained for up to 30 days for system recovery purposes, then permanently purged.

Email Preferences: You can manage your email preferences or unsubscribe from marketing emails by clicking the unsubscribe link in any promotional email or by contacting us at support@wellspoken.me. Note that you cannot opt out of essential transactional emails such as account confirmations, password resets, billing notifications, and critical service updates.

7. Data Security

We implement industry-standard security measures including encryption, access controls, and regular security audits. However, no internet service is 100% secure. We encourage you to use strong passwords and contact us immediately if you suspect unauthorized access.

8. Data Retention

We retain your practice data, voice recordings, meeting recordings, and uploaded audio and video files for as long as your account is active, plus 12 months after cancellation to allow for reactivation. Practice sessions shorter than 10 seconds may be automatically discarded. You can request earlier deletion at any time, including deletion of specific meeting recordings or uploaded files.

9. International Users

Our services are provided from the United States. By using Wellspoken, you consent to the transfer and processing of your information in the United States, which may have different privacy laws than your country.

10. Changes to This Policy

We may update this privacy policy from time to time. We'll notify you of significant changes via email or through our app. Continued use after changes constitutes acceptance of the updated policy.
